This policy explains how Systemix Health handles personal data when you visit www.systemixhealth.com, send us an enquiry, or deal with us as a business contact. It covers our website and ordinary business communication only.
Who we are
Systemix Health is a trading name of Orange Lab BV, the controller for the personal data described here. Our postal address is Spiegelenburghlaan 11, 2111 BK Aerdenhout, the Netherlands. You can reach us at hello@systemixhealth.com.
What we collect
Information you give us. When you use our contact form or email us, we receive your name and email address (both required so we can reply), your organisation if you choose to add it, and whatever you write in your message.
Business contacts. If you work with us or for a client, supplier or partner, we keep ordinary contact details and correspondence needed to manage the working relationship.
Technical information. When you visit the site, our hosting and security providers process technical data such as IP address, browser and device type, and the pages requested. With your consent, our analytics provider also records how the site is used.
Why we use it, and on what legal basis
- Legitimate interests — answering enquiries, maintaining professional relationships, and keeping the site available and secure (including spam protection).
- Contract — where you are a contracting party, or ask for steps towards a contract, we use your data to prepare and deliver the engagement.
- Consent — optional analytics cookies, and any updates or marketing you have asked to receive. You can withdraw consent at any time; this does not affect processing carried out before you withdrew it.
How long we keep it
Enquiries that do not lead to an engagement are deleted once the conversation has clearly ended and there is no longer a reason to keep it, and in any case within 12 months. Client and project correspondence is kept for the duration of the engagement and afterwards for as long as needed for our contractual, tax and administrative obligations. Analytics data is kept for three months and then deleted automatically.
Who we share it with
We do not sell personal data. We share it only with providers who help us run the site and our business: website hosting and database services, email delivery and communication tools, spam protection, and website analytics. They act on our instructions.
Some of these providers are established in, or have access from, the United States. Where that is the case, transfers rely on the European Commission's adequacy decision for the EU–US Data Privacy Framework where the provider is certified, or otherwise on the Commission's Standard Contractual Clauses. Email us for details of the safeguards that apply to a specific provider. We may also disclose data where the law requires it.
Cookies and analytics
Essential cookies keep the site working and secure. Optional analytics cookies (Google Analytics) are only set after you accept them in our cookie banner, which offers accept and decline equally. You can change your mind at any time using here or in the footer of every page, or by clearing cookies and site data in your browser.
Your rights
Subject to the conditions in the GDPR, you can ask us to give you access to your data, correct it, delete it, restrict or object to how we use it, or provide it in a portable format, and you can withdraw consent at any time. Write to hello@systemixhealth.com and we will normally respond within one month. If a request is complex or you have made several, we may extend that by up to two further months and will explain why. You can also complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Security and changes
We take reasonable technical and organisational measures to protect your data against loss, misuse and unauthorised access. We may update this policy from time to time; the current version is always published here with its revision date.
